WooCommerce + QuickBooks

Every order on your store, in your books.

Nothing lost, nothing faked. I catch missing orders, fraud, and sync failures in hours, not months later at tax time.

The problem

Your store won't tell you what it lost.

Most order problems are silent. You find out at month end, when the numbers don't match.

Missing orders

A fully deleted order leaves no record. Your store can't tell you it's gone.

Sync failures

Syncs stop quietly. Stuck statuses and tax settings keep sales out of your books.

Card-testing fraud

Bots place waves of tiny charges. They cost you fees and can land in your books as fake sales.

How it works

Three steps. Stop after the first if you like.

  1. 1

    Free audit

I review your orders, sync, and fraud signs. You keep the written findings.

  2. 2

    Setup

I fix what I found, install monitoring, and reconcile the last 90 days.

  3. 3

    Monthly plan

I watch every day and send you a reconciliation report each month.

What the free audit checks

You get a one-page report: what's healthy, what's at risk, and what to fix first. It's yours to keep, whether you hire me or not.

  • Orders in the trash, and whether any were paid
  • Orders stuck in statuses your sync ignores
  • Cleanup jobs that delete orders automatically
  • Card-testing signs and fraud charges to refund
  • Last 30 days: store vs. QuickBooks vs. processor
  • Sync errors and tax settings that block posting
  • Backups, updates, and security plugins
  • Passwords or keys left in docs or code

Wholesale distributor

99%

of 2,478 products matched to QuickBooks automatically

A wholesale catalog moves to WooCommerce

Product data was split across two systems, with three dealer pricing tiers and 93 exceptions. I merged the data, set up two-way QuickBooks Desktop sync, and fixed what blocked orders from posting.

  • QuickBooks Desktop
  • B2B pricing
  • 2,400+ products

The client

A B2B wholesale distributor of hot tub and pool parts, selling to dealers, technicians, and contractors. Leaving a legacy e-commerce platform, with accounting in QuickBooks Desktop on a local office machine.

The problem

  • Prices lived in the QuickBooks price list. Categories and images lived in the old platform's export. Some products existed in only one of them.
  • Three customer tiers with different discounts, plus 93 products where the top tier pays a different rate.
  • Orders had to reach QuickBooks Desktop on a local PC, not a cloud system.

What I did

  1. Wrote a Python data merge that joined both sources on SKU, calculated every price tier, flagged the exceptions, and produced review reports. The owner signed off before anything was imported.
  2. Imported the full catalog and configured B2B tiered pricing with override rules for every exception. Prices are hidden from guests.
  3. Migrated the site to production after the standard migration tool failed on size, compressing it by 65% with a different approach.
  4. Set up two-way sync. Orders, customers, and payments flow into QuickBooks as sales orders for staff review. Inventory flows back to the store hourly.
  5. Debugged the integration end to end: an outdated TLS certificate on the office PC, orders stuck in a status the sync ignored, and a sales tax code error that blocked posting.

Outcome

  • 2,455 of 2,478 products matched automatically. The remaining 23 were discontinued or placeholder items.
  • All 93 pricing exceptions configured as specified.
  • Staff review every web order in QuickBooks instead of re-keying it.

Hot tub retailer

15

removed orders traced, with fraud separated from real sales

The order that disappeared without a trace

Orders were vanishing, and sales had stopped reaching QuickBooks. Most were card-testing fraud. But I also proved one real, paid order had been erased completely, something the store's own records could not show.

The client

A hot tub retailer selling parts online through WooCommerce, with accounting in QuickBooks Online.

The problem

Orders were vanishing from the store while still showing up elsewhere. Separately, website sales had stopped reaching QuickBooks. Nobody could say what was missing or why.

What I did

  1. Mapped where the store keeps its orders. Wrote forensic database queries to profile every status, list trashed orders, and sweep for paid orders no longer live.
  2. Found that most disappearing orders were card-testing fraud, cleared in daily batches. Of 15 removed orders, 14 never took payment. I flagged the one that did so it could be refunded.
  3. Built a risk flag that marks any removed order as paid if it had payment evidence before deletion.
  4. The owner then produced a supplier invoice for a real order that should have existed. I searched by name, address, phone, postal code, part number, and user account. Nothing. The order and its line items were gone entirely.
  5. Documented everything in a handoff report and set up a new QuickBooks sync that only posts paid orders, so fraud never reaches the books.

Outcome

  • 15 removed orders analyzed and classified.
  • One genuine paid order proven lost, exposing a blind spot a database check alone can't catch.
  • Fraud kept out of accounting going forward.
The lesson for any store owner

If an order is deleted completely, your store won't tell you it's missing. Only a regular comparison against outside records catches it: your payment processor, accounting, and suppliers. That comparison is exactly what the monthly plan does.

About

Hi, I'm Jacob.

I'm a Toronto-based full-stack developer focused on payments and commerce systems. I work on the part between your store and your books.

Full time, I build for a commerce platform with 192,000 users: payments, idempotent checkout, and 600+ automated tests. I bring that same rigor to stores your size.

Questions

Before you book

Do you need my password?

No. For the audit, you create a separate admin account for me. You can delete it the moment we're done. I never ask for your own login.

Will the audit change anything on my store?

No. The audit is review only. Nothing gets fixed or changed until you say so.

Do you work with QuickBooks Desktop?

Yes. I work with QuickBooks Online and QuickBooks Desktop, including Desktop running on a PC in your office.

I already have a developer. Is this still useful?

Yes. The audit report is yours, so you can hand it to them. The monthly plan covers checking most developers don't do: comparing your store against QuickBooks and your payment processor, every month.

What if you find nothing?

Then you've lost nothing. You'll know your orders and your books line up, and you keep the written report.

Can I cancel the monthly plan?

Yes. Cancel anytime with 30 days notice.
